How and why we use your information
Under UK data protection law, we need a lawful basis for using personal information. The basis depends on what we are using the information for.
- Enquiries and bookings — contract: we use your information to respond to requests, prepare quotations, arrange bookings and take steps at your request before entering into an agreement.
- Providing your service — contract: we use the information needed to visit your property, follow care instructions, provide updates and manage your booking and payments.
- Business and security needs — legitimate interests: we use relevant information to maintain service records, protect our website, prevent misuse, resolve queries and handle complaints or disputes. We consider these interests alongside your rights.
- Emergency contacts — legitimate interests: we use nominated contact details where needed to help manage your booking or respond to an issue involving your cat or property.
- Legal requirements — legal obligation: we retain and use information where required for accounting, tax or other applicable legal obligations.
- Promotional communications and public photo use — consent: we rely on your permission for the uses described below.
- Optional website analytics — consent: we rely on consent for non-essential analytics cookies and related tracking.
Some contact, access and care information is necessary to provide our services. If you do not provide the information needed for a booking, we may be unable to accept or carry it out.
Our Client Portal and website forms
We use Precise Pet Care to manage client accounts, pet profiles, care instructions, bookings, quotations, invoices, messages and visit updates. Information entered into our Client Portal is processed through this service on our behalf.
You can find out more in the Precise Pet Care Privacy Policy and its GDPR information.
Our website uses Forminator forms to collect enquiries and booking requests. Submitted information is used to respond to you and administer the relevant request.
We use Cloudflare Turnstile to help protect our forms from spam and automated abuse. Turnstile processes technical information, such as IP address, browser and device information, to carry out these checks. More information is available in Cloudflare’s Turnstile Privacy Policy.
Payments
Clients pay us by bank transfer. We use payment references, transaction details and invoice records to identify payments and manage bookings.
We do not ask you to provide payment-card details through our website. Your bank processes your transfer under its own privacy arrangements.
Photographs and videos
We take photographs and videos during visits to provide care updates to owners and maintain relevant visit records.
Permission to use your cat’s photographs for public promotional purposes, such as our website or social media, is recorded separately through our Client Portal. Providing a visit update does not automatically give us permission to publish it publicly.
You can change your photo permission in the portal or contact us to withdraw it. Withdrawing permission does not affect the lawfulness of any use before withdrawal.
If you would like an existing photograph removed from a page or account we control, please contact us. We cannot guarantee removal of copies that other people have independently saved or shared.
Promotional emails
Our Client Portal allows you to choose whether to receive promotional content. We use this preference to decide whether to send you promotional emails.
You can withdraw your permission by updating your preference, using an unsubscribe option where provided, or contacting us.
Messages needed to administer your enquiry or booking, including quotations, invoices, payment reminders and care updates, are separate from promotional emails.
Cookies and Google Analytics
We use WPConsent to provide cookie choices on our website. Essential cookies support necessary website functions, including remembering your preferences.
Our website uses Google Analytics to help us understand how visitors find and use the site. Depending on the configuration and your consent choices, this may involve information about pages viewed, interactions, browser and device details, and approximate location.
You can accept or reject optional cookies through the cookie banner, or use its settings to choose your preferences. You can review your choices using the cookie settings button on the website and select Save Preferences after making changes.
For further information, please see our Cookie Policy and Google’s Privacy Policy.

Our website includes content provided by other services, such as YouTube videos, Instagram content and Google reviews displayed through Trustindex.
When this content loads or you interact with it, the provider may receive technical information and may use cookies or similar technologies. If you are logged into that provider’s account, it may associate your activity with your account.
External websites and services have their own privacy policies. Please review these when following links or using embedded content.
Who may receive your information
Where necessary for the relevant purpose, your information may be available to:
- Michelle, Demi and any authorised sitter who needs relevant information to carry out your booking.
- Providers supporting our website, hosting, email, Client Portal, security and other business systems.
- Your nominated emergency contact or veterinary practice when needed to deal with an issue involving your cat.
- Our bank, accountant, insurer or professional advisers where needed for payments, business administration, advice or a claim.

We limit the information shared to what is relevant to the task or issue being handled. Your choices about promotional communications and photo use are handled as explained above.
Information processed outside the UK
Some of the services we use process personal information outside the United Kingdom. Precise Pet Care states that its service is operated from the United States and that information is processed and stored there.
Precise Pet Care states that it uses appropriate protections required by applicable law for international transfers. Further information is available in its GDPR information.
Please contact us if you would like information about overseas processing or the safeguards relevant to your information. The other provider privacy policies linked above also explain their international processing arrangements.
How long we keep information
We delete client accounts when clients are no longer active. This does not necessarily mean that every related business record can be deleted at the same time.
We determine how long related information needs to be retained by considering:
- Whether an enquiry, booking, payment or complaint is still outstanding.
- Whether the information is needed to provide an ongoing service.
- Applicable accounting, tax and other legal record-keeping requirements.
- Whether records are reasonably needed for an insurance matter or to establish, exercise or defend a legal claim.
Invoice and payment records may therefore be retained after a client account is deleted. Relevant records may also remain with service providers or in backups until their applicable retention or deletion processes are complete.
Where you opt out of promotional emails, we may retain a limited record of that choice so that we can continue to respect it.
Keeping your information secure
We treat client information, home access instructions and account details as confidential. Access is limited to the people and service providers who need it for the relevant purpose.
Please keep your Client Portal login details private and let us know promptly if you believe your account or home access information has been compromised.
No online service or method of transmission can guarantee complete security. Please avoid sending unnecessary sensitive information through general website enquiries.
Your data protection rights
Depending on the circumstances and the lawful basis for using your information, you may have the right to:
- Ask for access to your personal information.
- Have inaccurate or incomplete information corrected.
- Request deletion of your information.
- Ask us to restrict how we use your information.
- Receive certain information in a portable format.
- Withdraw consent where we rely on it.
Your right to object: you can object to the use of your personal information for direct marketing at any time. You can also object to processing based on legitimate interests for reasons relating to your particular situation.
These rights are not absolute in every situation. For example, we may need to retain some records to meet a legal obligation or deal with a legal claim.
To make a request, email purrfect@meowmomentscatsitters.co.uk. We may need to confirm your identity before providing information or making changes.
